Interview Guidelines

This policy is intended to protect the integrity, confidentiality, and fairness of the interview process. It applies to all candidates participating in any interview, screening, assessment, or recruiting conversation, whether conducted by phone, video conference, or in person.

Prohibited Use of Recording, Transcription, AI, and Note-Taking Tools

Candidates may not record, transcribe, capture, stream, summarize, or otherwise preserve any portion of an interview without the Company’s prior express written consent. This prohibition includes, but is not limited to, the use of audio or video recording tools, transcription services, AI meeting assistants, AI bots, automated note-taking applications, browser extensions, screen-capture tools, mobile devices, wearable recording devices, or any other application or device that records, monitors, transcribes, summarizes, analyzes, or assists with interview communications in real time or after the interview.

Recording Consent and Legal Compliance

Recording laws vary by jurisdiction. In many states, recording a private conversation without the consent of all participants may violate state law and may expose the person recording to civil or criminal penalties. Because interviews may involve participants located in different states or jurisdictions, candidates must not record, transcribe, or use any AI or automated note-taking tool unless the Company has expressly authorized the use in advance and all required consents have been obtained.

Candidate Acknowledgment

By participating in the interview, the candidate confirms that they are not recording the interview and are not using any AI bot, AI assistant, transcription service, note-taking application, or similar technology to capture, generate, summarize, prompt, or assist with responses during the interview, unless the Company has provided prior express written authorization.

Interview Procedure if Unauthorized Technology Is Detected

If the Company determines or reasonably suspects that a candidate is recording the interview or using an unauthorized AI bot, AI assistant, note-taking app, transcription tool, or similar technology, the interviewer may pause or conclude the interview. The interview may then be rescheduled for a later date when the Company can reasonably confirm that the candidate is not recording, transcribing, or using any unauthorized tool or application during the interview.

Consequences of Noncompliance

A candidate’s failure to comply with this policy may result in one or more actions the Company determines appropriate under the circumstances, including but not limited to: immediately pausing or ending the interview; rescheduling the interview under conditions designed to confirm compliance with this policy; restricting the candidate’s further participation in the hiring process unless the candidate agrees to comply with interview conditions; removing the candidate from consideration for the role; disqualifying the candidate from future opportunities for a defined period where the conduct involved intentional recording, deception, or disclosure of confidential interview information; withdrawing or rescinding an offer if the violation is discovered after an offer is made and the Company determines that the conduct affected the integrity of the hiring process; requiring the candidate to delete any unauthorized recording, transcript, notes, summary, screenshot, AI-generated content, or related files; requiring written certification that such materials have been deleted and have not been copied, retained, uploaded, shared, distributed, or otherwise disclosed; referring the matter for legal review where the recording or use of technology may have violated applicable law or involved confidential, proprietary, or personal information; or taking any other action the Company determines appropriate based on the nature of the violation, the role, applicable law, and business needs.

Approved Exceptions

Nothing in this policy prohibits a candidate from requesting a reasonable accommodation or other approved assistance in connection with the interview process. Any request to use recording, transcription, AI, note-taking, accessibility, or assistive technology during an interview must be submitted to the Company in advance so that the Company can evaluate the request and determine an appropriate, lawful, and secure process.
